Duties and Responsibilities

Rotary Coordinator:
to serve as an RI resource, in partnership with the RI Director, RRFC and governor, in the promotion and successful implementation of the RI Strategic Plan in our districts and clubs.

To help districts help clubs implement the RI Strategic Plan, Rotary Coordinators:
  1. Serve as an RI resource in the field, a catalyst for change, consultant, advisor, and mentor.
  2. Define measurable objectives to implement the RI Strategic Plan within their areas.
  3. Share ideas, success stories and best practices.
  4. Identify resources and connect people.
  5. Advocate for innovation and creative approaches that support and strengthen clubs, public image, and programs.
  6. Encourage long range planning at the club and district level.
  7. Establish communication tools that work in all directions on a regular basis.
  8. Promote the core values of the organization.
To implement the RI Strategic Plan at the zone level:
  1. Form a “key three” team with the director and RRFC.
  2. Serve as an integral part of the GETS training team, when invited by convener.
  3. Develop zone specific key messages related to supporting and strengthening clubs, programs, and public image, in conjunction with the RI director.
  4. Conduct regional meetings targeting supporting and strengthening clubs, programs and public image.
  5. Encourage collaboration between districts. Identify those with the strongest programs in membership, public image and programs, and connect them with districts that need assistance.
  6. Select, train and work with assistant Rotary Coordinators and other members of your team.
Working with districts to implement the RI Strategic Plan:
  1. Offer current information and assistance to district governors and connect them with resources.
  2. Advise on club development in weak clubs and new clubs.
  3. Participate in club and district events, attend PETS and other training opportunities, when invited.
  4. Promote the RI Convention.
Assistant Rotary Coordinator:
Corresponding, Working & cooperating closely with RC & DRCs and assisting in:
  1. Contacting, coordinating and cooperating with DGs, DGEs and DGNs (as assigned by RC) and District Rotary Coordinators for RI program activities /events
  2. Organizing multi–district seminars and workshops on RI Programs
  3. Reporting 4 quarterly reports in a year about the overall assigned Districts’ development based on RI Strategic plan (membership development, club status, successful projects, public image) and other activities or events. (Sending the report to RC on October 10, 2010, Jan 10, 2011, April 10, and July 10, 2011)
  4. Participating in clubs and district activities, training, events as often as necessary
  5. Discussing problems and cooperating with RC, DRCs and DGs in strengthening clubs and assisting them to achieve the clubs and district goals.
  6. Promoting RI programs in clubs and districts.
  7. Providing advices and training (assigned by RC under the approval of DG or invitation by club president) any issues on RI programs for the clubs and districts.
District Rotary Coordinators:
Corresponding, working & cooperating closely with RC & ARC and assisting in:
  1. Cooperating with District chairs, District trainer, club presidents, assistant governors in helping in membership development, achieving successful projects and promoting public relations locally, nationally and nationally (in cooperation with RC and DG and RI Public Resource Group)
  2. Visiting & participating in clubs’ activities, projects and events
  3. Discussing problems found/encountered in clubs or district with RC and ARC
  4. Supporting and providing RI information or educating some RI information to clubs as necessary (assigned by RC under discussion with DG,& club presidents)
  5. Reporting 3 quarterly reports in a year for the overall achievement of the clubs in the districts: weak and strong clubs in each avenue of services, progress in membership development, successful projects, public relation issues, problems/obstacles found in clubs/districts and comments on resolutions. (Sending report to ARC and RC on October 5, 2010, January 5, 2011, April 5, and July 5, 2011)
Goal:
Zone 6B Districts achieve their goals of membership development, successful projects, public image and awareness as stated by the individual district governor between July 1, 2010 - March 2011.

Objectives:
  1. To assist and promote clubs and districts to achieve their targets in membership development (10% better than the previous year in overall record).
  2. To promote and assist clubs to earn Presidential citations for 2010-2011. (at least 80% in each district)
  3. To cooperate with DGs & the district chairs in counseling and promoting clubs and districts for effective 3-year plan based on new RI Strategic Plan, including the implementation in the area.
  4. To provide update necessary RI Information to all clubs and districts in Zone 6B through Special and modern Zone 6B website, including blogs and other links.
  5. To promote RI information Education in Clubs & Districts in cooperation with DGs, DRCs and ARCs.
  6. To organize at least 2 multi-district seminars and workshops for all clubs and districts in the Zone on RI programs as necessary and other regional meetings.
  7. To visit and join in activities of clubs or districts and survey problems for solutions with DRCs and ARCs, DGs and RI Director for resolutions.
  8. To promote successful projects for publicizing locally, nationally and internationally with cooperation with Zone 6B RI Public Image Resource Group.
  9. To seek for and provide resource persons in particular areas of interest to help Clubs and districts for their service to communities and from communities to continents.
  10. To cooperate and organize fellowship programs for clubs and districts.
  11. To cooperate with RRFC and DRFCs to promote TRF programs and contribution.
  12. To conduct the survey studies and assess the clubs’ and districts’ achievement based on RI Strategic plan.
  13. To prepare the overall quarterly reports on Zone 6B clubs’ and districts’ achievements, problems, other necessary issues for improvement in future to RI Director & RI President.(Sending the report on October 15, 2010, January 15, 2011, April 15 and July 15, 2011)

March, 2010
Contacting DGEs to inform the roles and responsibilities of Rotary Coordinator and consulting & discussing for the team assisting and cooperating districts and clubs to achieve the goals, visiting district conferences.

April, 2010
Nominating the District Rotary Coordinators by DGEs and discussing on the nomination of ARCs to be considered by Rotary Coordinator and Director; visiting PETS and Multi-PETS in different districts; Meeting with DGEs and DGNs for the structure of Rotary Coordinator in helping clubs and districts; contacting RRFC for information of the annual activity plan and cooperation.

May, 2010
Reporting the director about the structure of the Rotary Coordinator’s team and the names of the DRCs and ARCs; Under approval of director, contacting all appointed DRCs and organizing meeting among the team for roles and duties; training the team for roles and responsibilities; organizing a brief program to inform RC’s roles and responsibilities among district chairs, district trainers/leaders and club leaders in different districts; communicating with DGES in all 9 districts for the planning of the Multi-district Seminar and workshop on RI programs for RC team, District leaders and club leaders. Attending District Assembly in some districts.

June, 2010
Surveying the needs of clubs and districts for problems and the topics for seminar and workshop necessary in helping strengthen clubs and districts; creating & designing special website for Zone 6B communication and education.

July, 2010
Organizing Zone 6B Multi-District Seminar and Workshop on RI Programs (in Bangkok, Montien Hotel, Suriwongse Rd. on July 17, 2010; launching the zone 6B website (z6brc.org), making a report on zone 6B Multi-district seminar and workshop to director and RI president.

August, 2010
Being a speaker and attending membership seminars of the regional districts and also RRFC program of the districts (as invited); advising and assisting in implementing 5 avenues of services of the clubs. Visiting D.3300 & D.3310 and attend the RC’s team meeting with DRCs. Promoting membership development. Promoting 2010 Bangkok Rotary Institute. Promoting RI convention in New Orleans.

September, 2010
Promoting Youth programs of the clubs and districts. Posting new information and articles on successful Youth programs in the zone 6B. Participating in District Seminar and workshops (as invited). Promoting International Literacy Day through Clubs with special blogs. Promoting 2010 Bangkok Rotary Institute and RI Convention.

October, 2010
Sending the 1st quarterly written report to the director and RI by October 15. Promoting vocational program and trainings, Organizing CLE Lighthouse literacy project for district 3330 (other districts are also welcome) to train the trainers (in-service teachers and supervisors) in the problem areas down south (October 16-21); Promoting vocational services in the Zone; Rotary coordinator’s team meeting. Visiting D.3271 & D.3272 and meeting with DRCs & DGs. Promoting vocational service through website to all District in Zone 6B. Meeting with RC and DRCs in D.3330, D.3340, D.3360 and D.3350 for evaluation report and discussion for problem s and solutions on strategic plan implementation. Last Call for registration for 2010 Bangkok Rotary Institute. Calling for pre-registration on RI convention.

November, 2010
Organizing 2010 Bangkok Rotary Institute (19-21). Participating in GETS training (17-18) & RRFC program (19) in Bangkok (Imperial Queen’s Park Hotel) Meeting with ARCs, DRCs. Visiting D.3280 and meeting with RC and DRCs. Help promoting TRF for contributions and participation. (Website & blogs). Promoting RI Convention in New Orleans. Seminar in Public Image & Rotary awareness and how to help weak clubs.

December, 2010
Promoting fellowships and Rotarian Action Groups. Participating D.3310 District conference. Meeting with RC and DRC. Planning the 2nd Multi-district Seminar with DGs, RRFC, Director and RCs and DRCs. Helping DGEs for preparation of the RI Assembly in San Diego.

January, 2011
Promoting international projects and participation in TRF. Publicizing successful projects through website & blogs. Planning the PETS & Multi-PETS with DGs, RCs and DRCs, District trainers for assistance in the program training. Promoting public relations strategies to clubs and districts. Giving information about RI theme and RI President-Elect emphases (after RI Assembly). Submitting 2nd quarterly report to RI by Jan 15 Update data in Zone 6B RC Website.

February, 2011
Promoting World Understanding. Organizing the Seminar/Forums on Peace Program and world understanding through International projects. Submitting the 2nd quarterly written report to RI. Publicizing successful projects of clubs in Zone 6B. Meeting with DGs, RCs and DRCs for the discussion on evaluation and resolutions to the problems based on strategic plan.

March, 2011
Participating District Conferences in Zone 6B (as invited). Promoting Literacy programs and projects. Discussing with DGEs and DGNs, RC and DRCs and Planning for preparation of 2nd Multi-District Seminar of Zone 6B on Strategic Plan, Implementation and Evaluation. Participating in District Assembly of Zone 6B (as invited). Giving information necessary for District Assembly. Meeting with DGs, DGEs and DGNs, RC and DRCs for RC’s assistance and planning for the Multi-district Seminar and workshop on RI programs to strengthen clubs and districts. Publicizing successful projects through website and blogs(on link to zone 6B coordinator of public image resource group). Discussing on a Multi-district Seminar and Workshop on RI programs with the director and RRFC.

June, 2011
Organizing Zone 6B Multi–district Seminar and Workshop on RI programs based on RI Strategic Plan for the year 2011-2012. Participating in District Training program as invited. Summarizing Districts’ goals, evaluation, and achievement. Summarizing an overall picture of Zone 6B membership growth in 2010-2011. Sending 4th quarterly report to RI by July 15.
